Welcome to Inflatable Retreats! These Terms & Conditions (“Terms”) govern the rental and use of our inflatable tents, event equipment, and related services. By booking with us, submitting payment, or using our equipment, you agree to be bound by the terms below.
1. Booking and Payment
- Reservation Deposit: A non-refundable deposit of 25% is required at the time of booking to secure your event date.
- Final Payment: Full payment is due no later than 7 days before the scheduled event. If payment is not received by this deadline, Inflatable Retreats reserves the right to cancel the reservation and retain the non-refundable deposit
- Accepted Payment Methods: We accept Credit, Debit and PayPal.
Setup Time:
We will arrive approximately 1 hour before your scheduled booking time to complete setup and ensure everything is ready before your event begins.
*Important Note About Late Bookings:
Bookings that start at or after 4:00 PM require a full-day rental. This ensures proper setup, takedown, and safety during evening events. For late bookings, equipment pickup will take place the next morning starting at 10:00 AM.
Pickup Time:
Equipment is typically picked up within 1 to 2 hours after your event ends. For events ending late in the evening, pickup may be scheduled for the following morning starting at 10:00 AM
2. Cancellations and Refunds
Client Cancellations:
All bookings require a 25% non-refundable deposit to secure your event date and equipment.
- Cancellations made 10 or more days before the event are eligible for a refund of any amount paid beyond the deposit.
- Cancellations made 4–9 days before the event may receive a rescheduling credit (valid for up to 3 months), but no monetary refund.
- Cancellations made within 3 days of the event are non-refundable and not eligible for rescheduling.
Weather Policy:
In the event of extreme weather (e.g., severe rain, high winds, lightning), Inflatable Retreats reserves the right to cancel or reschedule for safety reasons. Clients may reschedule their event within 3 months of the original booking date. Refunds are not issued for weather-related cancellations.
Company Cancellations:
If Inflatable Retreats cancels due to equipment failure or other unforeseen company-related issues, a full refund will be provided, including the deposit.
3. Delivery and Setup
Delivery & Setup Window:
Our team will deliver and set up the equipment during a scheduled time window agreed upon with the client. Please ensure that someone is on-site and available to confirm placement and access to the setup area.
Site Requirements:
To ensure safe and efficient setup, the event site must meet the following conditions:
- Flat and Clean Surface: Setup locations must be flat, clean, and free of obstructions such as overhead wires, low-hanging tree branches, furniture, debris, animal waste, or vehicles.
- Freshly Mowed Grass: Grass areas must be mowed within 48 hours prior to setup. Tall or unkempt grass can interfere with anchoring and setup safety.
- Underground Utilities & Hard Surfaces: The client is responsible for notifying us of underground utilities, irrigation systems, or hardscaping (e.g., concrete pads) where tent stakes or guylines cannot be used.
- Guylines and Anchoring: Tents and similar structures require proper anchoring using guylines. If guylines cannot be used due to underground lines or hard surfaces, alternative anchoring methods (e.g., water barrels or weighted anchors) must be arranged in advance. These alternatives may incur additional charges.
- Accessibility: The setup site must be accessible to delivery vehicles and staff. Please inform us of any stairs, narrow gates, steep slopes, or other access limitations during booking.
Power Access:
Access to a power source within 50 feet of the setup location is required unless a generator is included with your rental.
Generators:
Inflatable Retreats offers generator rentals for locations without accessible power. Please request this service in advance.
Failure to Meet Requirements:
If the setup site does not meet the conditions listed above, delivery and setup may be delayed, altered, or canceled at the company’s discretion. No refunds will be issued for cancellations or delays caused by non-compliance with site requirements.
4. Use of Equipment
- Supervision: All inflatable and rented equipment must be monitored by a responsible adult at all times during use.
- Prohibited Items/Actions:
- No shoes, food, drinks, pets, or sharp objects are allowed in or on the inflatables.
- No smoking or open flames near or inside any equipment, including inflatable tents.
- No attaching objects with tape, glue, or any adhesive to our equipment.
 
- Responsibility for Damages: Clients are responsible for any damage, theft, or misuse of equipment during the rental period.
5. Liability Waiver and Indemnification
By renting equipment from Inflatable Retreats, you acknowledge, understand, and agree to the following:
- Responsibility for Use:
 You are solely responsible for the safe, proper, and lawful use of all rented equipment for the duration of the rental period. Equipment must be used in accordance with provided instructions and safety guidelines.
- Assumption of Risk:
 Use of rental equipment involves inherent risks. All participation, including that of event guests or attendees, is done at your own risk. Inflatable Retreats, its owners, employees, agents, and affiliates shall not be held liable for any injuries, accidents, damages, or losses that occur before, during, or after the use of rented equipment.
- Indemnification Clause:
 You agree to indemnify, defend, and hold harmless Inflatable Retreats, its owners, employees, agents, and affiliates from and against any and all claims, demands, causes of action, damages, liabilities, losses, costs, and expenses (including reasonable attorney’s fees) arising out of or related to:- The use or misuse of rented equipment;
- Injury or harm to any person or property resulting from such use;
- Breach of this agreement or failure to comply with applicable laws or safety standards.
 
This waiver and indemnification apply to the renter, all event participants, and any third parties who may come into contact with the equipment during the rental period.
6. Client Responsibilities
To ensure the safety of all guests and the proper use of rental equipment, the client agrees to the following responsibilities:
Supervision & Safety:
Provide constant adult supervision for all rental equipment in use, especially inflatables and tents.
- Ensure no roughhousing, flips, horseplay, or overcrowding in inflatables or equipment at any time.
- Keep all sharp objects, food, drinks, pets, and smoking materials away from the rental equipment.
- Anchor points and safety gear must not be removed, adjusted, or tampered with during the rental period.
Proper Use of Equipment:
- Equipment must be used only for its intended purpose and installed location. No moving, dragging, or relocating equipment after setup.
- Do not allow guests to climb, hang, or lean on tents, guy lines, or structural poles.
- Ensure no use during unsafe conditions, such as high winds, rain, or lightning. Immediately evacuate and stop use of equipment during these conditions.
Damage or Malfunction Reporting:
- The client must contact Inflatable Retreats immediately at the emergency phone number provided if:
- Equipment becomes damaged, unstable, or stops working properly.
- An injury or accident occurs during the event.
- Weather becomes unsafe for continued use.
 
Equipment Protection:
- Do not attempt to deflate, dismantle, or repair any equipment yourself.
- Keep children and guests away from generators, electrical cords, and blower fans.
- Equipment must remain clean, dry, and secure during the rental period.
Failure to follow these responsibilities may result in early pickup, additional fees, or denial of future service.
7. Pickup and Cleaning
Pickup Timing:
Inflatable Retreats will return for breakdown and pickup during the agreed pickup window, typically the morning following your event. Clients will receive a pickup window (e.g., 7:00 AM – 12:00 PM) for next-day retrieval.
If you require same-day pickup, this must be requested at the time of booking and may incur an early pickup fee, subject to availability.
Site Access:
The client is responsible for ensuring that the setup location is accessible and unobstructed at the time of pickup. All pets, vehicles, and locked gates must be secured or opened to allow our team entry.
Cleaning Requirements:
To avoid additional fees, please ensure that equipment is returned in a clean and orderly condition. This includes:
- Removal of all food, drinks, decorations, and debris.
- Wiping or sweeping out any large messes or spills.
- No presence of gum, glitter, confetti, or water balloons.
Cleaning Fee:
A $150 cleaning fee will be charged if the equipment is returned in excessively dirty condition, including:
- Food or drink spills
- Mud, sand, or grass buildup
- Trash or party waste left in or around the equipment
Note: Equipment damaged due to improper cleaning or misuse may result in additional charges.
8. Internet Access & Gameplay Options
Inflatable Retreats’ staff will make every reasonable effort to establish internet connectivity for games that require it, including online multiplayer and cloud-based content. In the event that internet access is unavailable, unstable, or otherwise unusable, our staff will discontinue troubleshooting and shift focus to ensuring a great experience using offline games, including single-player and local multiplayer options.
Please note that we do not issue refunds for events where internet connectivity cannot be established.
9. Game Ratings
Inflatable Retreats will do its best to play only the games or game types approved by the Party Host or Hostess. Our game setups include titles across a variety of genres and ratings to suit different preferences and skill levels.
While we aim to follow the guidance provided by the Party Host or Hostess regarding which game ratings are allowed, it is ultimately the responsibility of each parent or guardian to monitor their own child’s participation. Our staff cannot individually supervise every game session for every child, especially during larger events or venues
10. Supervised Children
Inflatable Retreats requires that a parent or responsible adult be present either inside or just outside the gaming area at all times. All guests 16 and under must have a parent or guardian on the premises and accessible to staff in case they need to be contacted. Children under the age of 8 must be accompanied by a parent or responsible adult inside the game theater at all times.
While we will do our best to follow the preferences of parents and guardians regarding game types and ratings, it is ultimately the responsibility of each parent or guardian to monitor their own child’s participation. Our staff cannot supervise every game session for each child, especially during larger events.
11. Alcohol and Drugs
Alcohol may be served at your Inflatable Retreats event; however, we reserve the right to refuse, cancel, or end any event if alcohol use creates an unsafe or disruptive environment. The use or presence of illegal drugs—or the misuse of legal substances—on or near Inflatable Retreats’ equipment is strictly prohibited. Any such activity will result in the immediate termination of the event.
12. Force Majeure
Inflatable Retreats shall not be held liable for any delay or failure to perform due to circumstances beyond our control, including but not limited to severe weather, natural disasters, governmental orders, or other events deemed “acts of God.”
13. Governing Law
These Terms are governed by and construed in accordance with the laws of the State of Maryland, specifically Charles County, MD. Any legal disputes must be resolved in the appropriate court located in Charles County.
